Rillsoft Cloud — collaboration, Integration Server and cloud features
Rillsoft Cloud is the hosted operating form of the Rillsoft Integration Server, operated by Rillsoft, and provides project-driven industrial companies with 20 to 200 employees a complete project, resource and capacity planning platform with German server location. The planning interface remains the Rillsoft Project desktop client; central data storage, multi-user operation, access control and cross-project resource and capacity balancing run through the Integration Server operated by Rillsoft. What Rillsoft Cloud is technically
Rillsoft Cloud is not a stand-alone product but the SaaS operating form of the existing Rillsoft platform. Concretely: Rillsoft operates a dedicated, tenant-isolated instance of the Rillsoft Integration Server for each customer in a German data centre. This multi-tenant architecture ensures that project, resource and employee data stays strictly separated between customers — every customer instance has its own database, its own access control and its own configuration.
Users continue to access their projects with the Rillsoft Project desktop client — that interface stays unchanged. In addition, the cloud delivers a web interface for light-weight tasks (time entries, vacation requests, status queries) as well as a REST API for integrations with ERP, HR or BI systems. The central database in the Integration Server is the single source of truth for all project and resource data.
Platform funnel: Rillsoft Project, Integration Server, Cloud
The Rillsoft platform consists of three components that build on each other and explain the technical target picture of the entire solution:
- Rillsoft Project — the desktop client for planning. This is where project plans with Gantt charts, resource assignment, capacity balancing and target/actual comparison are created. Rillsoft Project is the planning interface where project managers and planners do their work.
- Rillsoft Integration Server — the central multi-user backend. It holds the project database, coordinates concurrent access, manages roles and permissions, delivers the web interface, the REST API and the interfaces for time tracking and vacation. Multiple Rillsoft Project clients connect to the same Integration Server simultaneously and see the same up-to-date data state.
- Rillsoft Cloud — the operating form of the Integration Server hosted by Rillsoft. Same software, same functions, but delivered as a managed cloud service with German server location, updates handled by Rillsoft, ensured availability and no own server infrastructure on the customer side.

Cloud features at a glance
The following functions are part of every tenant instance in Rillsoft Cloud:
- Central project database — a consolidated data store for all projects of a customer. Conflicts between parallel projects, resource overbookings and schedule collisions become visible across the entire project portfolio.
- Multi-user operation with roles and permissions — multiple project managers, planners and clerks work in the same data set simultaneously. Roles, views and write permissions are configurable per project, department or employee group.
- Web interface — light-weight browser access for users who do not need a Rillsoft Project desktop client. Typical use cases: time entries, vacation requests, status queries, workforce planning views for team leaders.
- REST API — structured read and write access to the project database for integrations with ERP, HR, BI or service desk systems.
- Time tracking — booking of working hours directly on project tasks, with evaluation on project, department and employee level.
- Vacation planning — mapping of absences as part of the capacity balance. Approval workflows with supervisor confirmation.
- Document management — attachment of specifications, contracts, status reports and minutes directly on the project or the task. Versioned access via the web interface.
- Notifications — e-mail and in-app alerts on status changes, approval requests and date reminders.
- iCalendar interface — synchronisation of project dates with the user’s personal calendar (Outlook, Apple Calendar, Google Calendar).
These functions deliver the technical framework in which resource planning, workforce planning and multi-project management actually work across projects.
Who Rillsoft Cloud is made for
The target group of Rillsoft Cloud are project-driven industrial companies in the DACH region with 20 to 200 employees. Typical industries: machinery, plant construction, special-purpose machinery, tool making, construction and project-based manufacturing. Common denominator: several projects run in parallel, share the same resource and machine pool, and the question “Which projects are realistically feasible over the next weeks?” can only be answered across projects.
For these companies, Rillsoft Cloud solves two typical hurdles at once. First, the build-up of own server infrastructure is no longer necessary — no VM, no database hosting, no own backup solution, no own updates. Second, data sovereignty stays in place: German server location, tenant-isolated instance, contractually regulated data processing under GDPR.
Companies under 20 employees typically benefit more from a pure desktop variant; companies above 200 employees often ask for a dedicated on-premise installation of the Integration Server. Rillsoft Cloud is in between the fastest way into central multi-project steering.
